• A registration form and a deposit of $1,000 per person is required.

  • While we make every effort to accommodate last-minute sign-ups, please be aware that delaying your registration can lead to several challenges:

    • The tour may already be full.

    • Prices may increase if you register less than 90 days before the tour begins.

    • Securing flights may be difficult or impossible, especially to destinations with limited airline service.

    • Obtaining a tourist visa may be impossible or require costly expedited processing.

    All arrangements are subject to availability at the time of booking.

  • The minimum number of guests varies by destination; however, most tours require at least 15 participants to proceed.

  • Our tours usually range from 20 to 30 people.

    Custom tour groups must have a minimum of 15 participants.

  • The price listed under “Double Occupancy” is the per-person rate when sharing a room with another traveler, such as a spouse or travel companion.

    If you prefer your own room, please select “Single Occupancy.” This rate reflects the additional cost charged by hotels for single-room accommodations.

    We are happy to assist in pairing solo travelers with a roommate upon request. However, if we are unable to find a suitable roommate—or if your assigned roommate cancels—you will be responsible for the Single Occupancy rate.

  • A detailed payment schedule will be provided upon registration. A $1000 deposit per traveler is required at the time of registration, and final payment is due no later than four months prior to the tour’s start date.

  • For your convenience, we accept online payments through Flywire, which offers a variety of secure payment methods.

    To make a payment:

    1. Register for a tour.

    2. At the bottom of the registration form, choose to pay your deposit in USD or CAD.

    3. Submit your registration form.

    4. Follow the link to Flywire to complete your payment.

    5. Select your preferred payment method — credit card, bank transfer, PayPal, or other available options. All major credit cards are accepted.

    After your deposit is received, you’ll receive an invoice for the remaining balance, including a link to make your next payment. The final payment is due four months before tour departure.

  • TourMagination makes every effort to maintain the published prices for each tour. However, all prices are based on exchange rates, fuel costs, and land service rates in effect at the time the tour is developed. For this reason, pricing may be subject to change prior to final payment.

    If the price increase exceeds 7% of the total tour cost (excluding increases due to government taxes), affected travelers may choose to cancel their tour without penalty.

  • The tour price generally includes all transportation noted in the itinerary, expert tour leaders and/or storytellers, local guides, coach driver, accommodations, meals as specified in the itinerary, entrance fees for listed sites, and gratuities.

    Please refer to the specific tour pricing page for a detailed list of inclusions and exclusions.

  • The tour fare does not include airfares and associated fees, tourist visa(s), travel insurance, most lunches, beverages, non-group transfers, or optional activities.

  • A valid passport is required for all international travel and must be valid for at least six months beyond the scheduled return date of the tour. Depending on your destination, a tourist visa may also be required.

    We will contact you when it is time to begin the visa process and provide detailed instructions. It is essential to follow these instructions carefully to secure your visa. Without the proper visa, you will not be able to travel on the tour, and we cannot be held responsible if a traveler fails to obtain the necessary documentation. Obtaining and carrying all required documents is the traveler’s sole responsibility.

  • Any personal information we receive from you, including health details, passport information, or contact information, will be kept strictly confidential. We only share this information with relevant suppliers when necessary for your tour or with your explicit permission.

  • Flights are always subject to schedule changes, aircraft changes, or cancellations beyond the airline’s control. While airlines will make every effort to assist you, it is important to be proactive:

    • Purchase travel insurance to protect yourself against unexpected changes.

    • Download your airline’s app to receive live updates about your flight.

    If your flight is cancelled:

    • More than 24 hours before departure: If your ticket was purchased through a travel agent, contact the agency’s help line for assistance.

    • At the airport or already checked in: Go directly to the airline’s desk for support.

  • TourMagination Activity Ratings

    We’ve created three activity levels to help you understand what to expect physically on your chosen tour. Each tour’s activity rating appears in the Overview section of its page.

    1. Leisurely

      Relaxed tours at an easygoing pace with limited walking and mostly flat surfaces. Frequent stops and opportunities to rest are built into the itinerary. Some tours—such as cruise journeys—may also offer optional excursions for guests who wish to be more active. Suitable for travelers who prefer a comfortable rhythm and want the flexibility to sit out longer walks.

    2. Moderately Active

      A balanced pace combining guided sightseeing and regular walking periods. Expect 2–5 miles (3–8 km) of walking or standing per day, sometimes on uneven surfaces or cobblestones, with frequent stairs and gentle inclines. Certain tours may include optional activities that require slightly higher mobility. Best for travelers comfortable being on their feet for 2–3 hours at a time and navigating steps with ease.

    3. Energetic

      Active and engaging days with more than 5 miles (8 km) or 4+ hours of walking and standing spread throughout the day. May include longer distances, uneven or hilly terrain, and multiple sets of stairs. Designed for travelers who enjoy a lively pace and wish to make the most of each day’s exploration and adventure.

    Accommodating Our Travelers

    At TourMagination, we do our best to support the comfort and participation of all our travelers. In some destinations, alternative transportation or modified access—such as vehicle transfers up steep hills or to certain sites—may be arranged when possible. Availability varies by location and local accessibility standards.

    Many travelers find that bringing a foldable walking stick or other light mobility aid helps with balance and endurance on uneven terrain. Travelers who may need occasional assistance are also encouraged to travel with a companion who can provide support when needed.

    If you have specific mobility considerations, please contact us before registering so we can help you assess whether a tour is a good fit and explore possible adaptations.

  • While we aim to include as many people as possible, some tours may not be suitable for travelers with physical limitations. To determine if a tour is appropriate for you, please review the activity level rating for each tour.

    TourMagination cannot provide individual assistance for walking, boarding or exiting vehicles, or other personal needs, and is not responsible if it is unable to accommodate mobility-impaired passengers.

    If we are not notified at the time of registration about any physical limitations, TourMagination reserves the right to cancel your booking if your needs are:

    • Unsuitable for the tour

    • A risk to the health or safety of other participants or tour leaders

    • Incompatible with other travelers

    • Requiring a companion to provide all necessary assistance

    In such cases, no refund or compensation will be provided.

    Please note that not all sightseeing locations or transportation services are wheelchair accessible, and some activities require extended periods of standing, walking, or navigating uneven surfaces such as cobblestones. TourMagination cannot refund or cover expenses for missed activities if a participant is unable to fully participate with the group.

  • Dietary requests and preferences must be provided to TourMagination at the time of registration. We will make note of your needs to ensure that appropriate options are available for meals included in the tour.

    While we will do everything possible to accommodate your dietary requirements, some aspects may be beyond our control, so your vigilance and communication are essential to help us meet your needs.

  • We always strive to provide high-quality accommodations with excellent service, comfort, and character. Many of our hotels are storied properties chosen for their unique charm and local flavor. Star ratings vary by tour and destination, and the specific rating for each tour is noted in the tour inclusions description.

  • If you decide to cancel your tour, a cancellation fee of $300 per person applies, in addition to any fees charged by suppliers at the time of cancellation.

    • Cancellations received in writing at least 121 days prior to your tour start date will receive a full refund of the remaining amount.

    • Cancellations within 120 days of the tour start date will result in 100% of the total tour fare being non-refundable.

    Please note that all payments are non-refundable if cancellation is due to fear of social or political unrest, a public health emergency, or other circumstances without government travel advisories prohibiting travel.

  • If TourMagination cancels a tour, participants will receive a full refund, except in cases outlined below. If a tour is underway and cancellation is required for safety reasons, TourMagination will coordinate with embassies and local agents to ensure your well-being.

    TourMagination cannot be held responsible for cancellations or delays caused by events beyond our control, including, but not limited to:

    • Inability to obtain necessary materials, equipment, services, or labor

    • Changes in laws, regulations, or government orders

    • Inability to obtain required licenses, permits, or authorizations

    • Strikes, labor disputes, work stoppages, or lockouts

    • Natural disasters such as earthquakes, floods, or fires

    • Acts of terrorism, civil unrest, war, or other acts of violence

    • Pandemics, epidemics, quarantines, or other public health emergencies

    • Any other act of God

    In such cases, TourMagination may be unable to fulfill obligations, and travelers will not be entitled to compensationfor inconvenience, nuisance, or discomfort.

  • TourMagination strongly recommends that all travelers purchase Trip Cancellation and Interruption Insurance. Emergency Medical Insurance is required to travel on our tours.

  • The safety of tour members is of utmost importance to TourMagination. The situation globally is constantly changing. We monitor the political world situation on a regular basis in communication with our land agents as well as following “Travel Advisories.” We encourage our clients to register their travels with their respective governments before departure. If a destination is unsafe, TourMagination will either cancel the tour or revise the tour itinerary to ensure the safety of our travelers.

  • Approximately five weeks before departure, we invite the entire group to a Zoom meeting, giving you the opportunity to meet your fellow travelers and tour leader(s).

  • TourMagination operates the listed tour programs and acts as an agent on behalf of tour members for accommodations, transportation, sightseeing, admissions, and restaurant arrangements.

    We reserve the right to make changes to the itinerary at our sole discretion and are not responsible for expenses, loss of time, money, or other incidents resulting from itinerary changes.

    Additionally, TourMagination is not responsible for loss or damage to personal property, injuries, or unforeseen expenses incurred by any tour member.

  • TourMagination may make reasonable changes to the itinerary when necessary or advisable for operational reasons, at our sole discretion. We are not responsible for expenses or other incidents resulting from such changes.

    Travelers are responsible for staying up to date on the details of their tour. If a significant change occurs—defined as a change affecting at least one in three full tour days or materially altering the character of the tour—TourMagination will notify all affected participants as soon as possible.

  • Once a tour has departed, TourMagination may make necessary changes to the itinerary due to unforeseen circumstances or for reasons related to the safety or comfort of travelers. All changes are made at the sole discretion of the TourMagination team.

    TourMagination is not liable for any indirect or consequential losses resulting from changes to the itinerary.
